How to Handle Sensitive Information on Shared Workstations

When multiple team members share a single computer or workstation, maintaining data privacy, security, and accurate time tracking requires clear operational procedures and platform settings. 4 Best Practices for Shared Workstations 1. Always Log Out Between Shifts When finishing a shift, users must click Signout from the header menu in the Cloudica™ Desktop App. This stops active tracking and prevents the next user's work from being logged under the wrong profile.  2. Enable Confidential Mode for Sensitive Data If a shift involves handling financial records, customer PII (personally identifiable information), or confidential passwords, enable Confidential Mode. This automatically blurs screenshots and masks typed keystrokes while keeping active shift hours accurate.  3. Use Incognito Mode During Personal Breaks If an employee needs to check personal email, access online banking, or take a private break on a shared workstation, they should switch their status to Incognito Mode or sign out completely before navigating away from work apps.  4. Maintain Separate OS Accounts For maximum security, each employee using the shared workstation should log into their own password-protected Windows or macOS user profile in addition to logging into their unique Cloudica™ account.
