How to Add an Addendum
The Addendum feature allows Managers to directly adjust or supplement an employee’s recorded work time. Unlike a user "request," a manual addendum added by a Manager is automatically approved, instantly updating the user's records.
How to Add a Manual Addendum
1. From the header, click the Timesheet button.
2. Find the specific employee and date you wish to adjust in the Timesheet table.
3. Hover over the user’s Work Time cell, click the Kebab Menu (three dots), and select View/Edit Summary.
4. In the pop-up, click the + Add Work Addendum button.
5. Complete Details:
- Total Work Hours: Enter the time using the format 8h 20m.
- Reason: Provide context for the adjustment (Optional).
- Attachments: Upload an image, video, or PDF as evidence (Optional).
6. Once you click Save, the time is updated immediately. This also enables the ability to add Work Logs for that date.
A valid (approved) addendum is a prerequisite for Work Log requests.
Modifying Approved Addendums (Superseding)
Once an addendum is approved, it cannot be edited. However, if you need to make further corrections to an already approved entry, you can submit a new addendum.
When a new addendum is approved for the same date, it will supersede the previous one. The system will archive the older entry under the "Superseded" status, and the new total hours will be applied to the timesheet.
Adding an Addendum for Absent Users
If a managed user did not sign in to the Cloudica™ Desktop App, they are flagged as Absent and will have no recorded Work Logs (Time In/Time Out). If they worked offline or have a special case, you can manually add their hours:
- Use the Date Picker on the left panel of the Timesheet page to select the specific date of the absence.
- Click the Absent button on the left panel. This will add all users who were not logged in to the Timesheet table.
- Refine View (Optional): To make the list easier to manage, click the Worked button on the left panel to disable it. This will hide active users and display only the Absent users for that date.
- Locate the user in the updated list and follow the standard steps (Kebab Menu > View/Edit Summary > + Add Work Addendum) to record their hours.

Visual Indicators in the Timesheet
To maintain transparency, the system uses specific styling to highlight how work time was recorded or adjusted:
- Bold Work Time with Pencil Icon: The Work Time will appear in bold with a pencil icon next to it to indicate that a manual adjustment (Addendum) has been successfully made and approved.
- Italicized Work Time with Pencil Icon: The Work Time will appear in italics with a pencil icon to indicate that a user has submitted an addendum request that is currently Pending (awaiting manager approval).
- Document Icon: A small document icon will appear beside the time if there is an image, video, or PDF attachment linked to the addendum.
- "Edited" Label: In custom date range views, the label "Edited" appears above any adjusted time.
- Hover Tooltip: Hovering over an edited time reveals:
- The original reported time (before the edit).
- The status of the request.
- The name of the person who made or requested the amendment.
- The provided reason.
Managing Photo Attachments
When uploading a photo with the Addendum, the Image Edit Settings panel allows you to refine the evidence:
- Title
Assign a descriptive name to the image.
- Annotation
Add shapes or text to highlight specific details in the image.
- Crop
Trim the image
- Rotate
Adjust its orientation (90° steps).
- Delete
Remove the attachment from the addendum.

Reviewing History & Managing Requests
To audit changes or manage pending submissions, navigate to the Addendum Requests button on the left panel of the Timesheet page. This centralized hub allows you to:
- Audit History: View the full history of Addendums, Work Logs, and Idle Deletions for your managed team.
- Take Action: Directly Approve or Decline any pending requests from your team or other managers.
- Filter Data: Easily toggle between Addendum, Work Log, and Idle Deletion tabs to review or process specific request types.

When to Use a Manual Addendum
Managers can use this feature in scenarios such as:
- Field Work: An employee was working off-site and could not use the desktop app.
- Correction: A user forgot to log in but worked their full scheduled shift.
- Outside Tasks: The employee performed assigned tasks outside of their standard tracked hours.
- System Glitches: Correcting hours lost due to app crashes, technical bugs, or synchronization issues.
